Tracking Additional Information for Customer Vehicles

Has there ever been information on a customer’s vehicle that you wanted to record in AutoFluent®, but could not find an appropriate field? AutoFluent® Desktop provides an easy way to track this extra info, and AutoFluent.NET gives you even more options and versatility with your vehicles. In AutoFluent® Desktop, when you open the ‘Vehicles’ window from within a work order (or from Customer Entry), and select a vehicle, click on the ‘Extra Information’ button.

The ‘Extra Vehicle Information’ window has 6 modifiable fields. The left ‘headings’ allow you to specify the kind of information you would like to keep track of for the specific vehicle you selected. If you want the same headings for all your customers' vehicles, you can input your preferred headings and click the ‘Save Headings as Default’ button. The fields to the right of the headings are the values for the selected vehicle. There is also a general ‘Vehicle Notes’ section to add any extra information. These notes can be added directly to the work order as a comment if you have the ‘Add Notes to W/O’ box checked. There is a special invoice style that prints the Extra Vehicle Information on the top of all your work orders and invoices. Please note that not all states can use this invoice format, depending on what information you are required to show.

To change this custom Invoice Style, go to the Gear Icon from the main screen of AutoFluent® to open the Setup Entry. Then select System Settings, select the Invoice Copies tab, and look for a dropdown selection titled Invoice Styles. Select Custom from this dropdown and save your changes. Now your custom vehicle headers and values will be printed at the top of your work orders and invoices.

In AutoFluent.NET, you can not only add an unlimited number of custom fields to your vehicles, but you can also attach a photo to each vehicle. It works in a similar way to the inventory section.  With AutoFluent.NET, each type of inventory (tires, wheels, fluids, etc.) can have its own set of unlimited custom fields, to make it easy to enter the information appropriate to that type of product. Contact AutoFluent Support if you have any other questions about tracking custom vehicle information!
