AutoFluent.NET Scheduler with Notifications

The Scheduler in the web-based AutoFluent.NET has been greatly enhanced, as compared to the AutoFluent Desktop version. First of all, there are several ways to see what has been scheduled:

  • View by day, week or month, as well as a list of the tasks.

  • View all by Technician, Bay or Department.  Unlike the AutoFluent Desktop, there can be an unlimited number of bays and departments, and you can easily assign a color to each one.

  • You can choose whether or not to use Departments or Bays in the scheduler at all.

  • In addition to viewing the tasks, there is also an availability view.

Availability View

In the innovative availability view, you can see what time slots are free based on criteria you set. For example, you can tell the system that in a given time slot, you can only assign one task for a given bay, but two tasks for a given technician, and 5 tasks for a given department. But for the whole shop, you could allow 10 tasks in each timeslot. Then, when you go to schedule a given task, you can see at a glance what times are available based on that criteria.

What You Can Schedule

Rather than only being a way to schedule Work Orders, you can schedule Work Orders, Quotes, or any other type of appointment.  When creating the appointment, you can just leave it as a task, or assign it to a new or existing Work Order. You can even schedule multiple tasks to a given Work Order. Your technicians can click on these tasks to see the details of the Work Order’s job. Finally, a job can last minutes or weeks. The scheduler was made to accommodate a wide variety of uses.

Notifying your Customers

With the SMS Texting module, your customers can be notified immediately when the appointment is made. Additionally, a reminder can be sent to them automatically the day before the appointment.  Use the most current technology, a vCard, or VCF (Virtual Contact File) can be sent to your customer. The vCard can include your company logo and your store hours.  When your customer clicks on the vCard, you are immediately added to their contact list, along with your logo, address, website, and any other appropriate information. Gone are the days of needing to tediously call everyone with appointments scheduled. 

You can customize the automation level and templates for SMS text messages to be sent for various purposes, including appointments, vehicle inspections, Work Orders and Invoices.  These can be conveniently sent from a drop-down when editing a Work Order or Quote, or when viewing an Invoice. In just a couple of clicks, you can send your customer the latest copy of the transaction!
