Tips & Tricks - Keeping Track of Custom Vehicle Information

Has there ever been information on a customer’s vehicle that you wanted to record in AutoFluent®, but could not find an appropriate field? Fortunately, there is a spot to achieve just that! When you open the ‘Vehicles’ window from within a work order, or from Customer Entry, you can select the vehicle you would like to add the information for then click on the ‘Extra Information’ button.

The ‘Extra Vehicle Information’ window has 6 modifiable fields. The left ‘headings’ allow you to specify the kind of information you would like to keep track of for the specific vehicle you selected. If you want the same headings for all your customers' vehicles, you can input your preferred headings and click the ‘Save Headings as Default’ button. The fields to the right of the headings are the values for the selected vehicle. There is also a general ‘Vehicle Notes’ section if you need to keep track of anything pertaining to the selected vehicle that does not belong under any of the headings you defined. These miscellaneous Vehicle Notes can be added directly to the work order as a comment if you have the ‘Add Notes to W/O’ box checked. The other headings and values are not normally added to the work order, but there is a special invoice style that displays the Extra Vehicle Information on the top of all your workorders and invoices. Please note that not all states can use this invoice format depending on what information you are required to show.

If you decided that you would like the headers and customer vehicle information to appear on your work orders and invoices, you will want to change the Invoice Style. We can accomplish this by going to the Gear Icon from the main screen of AutoFluent®, this opens the Setup Entry. In the window that appears, select System Settings. In the System Settings window, select the Invoice Copies tab and look for a dropdown selection titled Invoice Styles. The invoice style that shows the custom vehicle information is called Custom. After that is selected, make sure to Save, then restart AutoFluent® completely. Now your custom vehicle headers and value will display under the customer and vehicle information on your work orders and invoices.
